These Booking Terms & Conditions ("Terms") govern trip planning, transportation coordination, and related services offered by HuaRenRental.com, operated by Carefree Charters LLC ("HuaRenRental," "Carefree," "we," "us," or "our"). By submitting a booking inquiry, accepting a quote, confirming a trip, or using our services, you ("Customer," "you") agree to these Terms. Please read them carefully before booking.

By requesting a quote, confirming a trip, or using HuaRenRental's planning and coordination services, you acknowledge that you have read, understood, and agree to be bound by these Terms, as well as the details in your written quote and trip confirmation.
If you are booking on behalf of a group, company, or other individuals, you represent that you have the authority to bind all members of your party to these Terms and that you will inform them of the applicable policies, including the cancellation terms stated in your trip confirmation.
One Mandarin-speaking team plans and coordinates your whole trip. The ride itself is performed by a verified, independent licensed carrier.
2.1 What HuaRenRental does. HuaRenRental.com is operated by Carefree Charters LLC. Carefree provides trip planning, customer referral, carrier matching, vehicle matching, scheduling, itinerary coordination, communication, and administrative support for your trip.
2.2 Who provides the transportation. The passenger transportation itself is performed by the independent motor carrier identified in your trip confirmation (the "Carrier"). Before service, your trip confirmation will identify the Carrier and, where available, the assigned driver and vehicle.
2.3 Carrier responsibilities. The Carrier is independently responsible for its operating authority, including any TCP or other required permit; its commercial insurance; its vehicle and driver; vehicle maintenance; safe operation; regulatory compliance; and the performance of the transportation. Carefree matches customers with independent carriers and verifies the Carrier's operating-authority and commercial-insurance information before confirming the trip.
2.4 Payment of transportation charges. Transportation charges are paid by you directly to the Carrier, as stated in your trip confirmation. Carefree does not collect, process, or hold your transportation fare.
2.5 Carefree's compensation. Carefree may receive separate referral, marketing, lead-generation, coordination, or administrative compensation from participating carriers.
2.6 Independent relationship. The relationship between Carefree and a Carrier does not by itself create an employer/employee, partnership, joint venture, or motor-carrier relationship between them.
2.7 Carefree's own responsibility. Carefree remains responsible for its own planning, coordination, and communication services and for its own acts. Nothing in these Terms limits Carefree's responsibility for its own fraud, willful misconduct, or any liability that cannot lawfully be limited.
An inquiry, a request for pricing, or a quote does not, by itself, reserve a vehicle, driver, or service time. A trip becomes confirmed only when (a) HuaRenRental sends your written trip confirmation (by WeChat, email, or other written means) identifying the Carrier, and (b) any deposit or payment required by the Carrier has been made as stated in that confirmation.
The transportation fare, any deposit, the remaining balance, accepted payment methods, and payment deadlines are set by the Carrier and stated in your written quote or trip confirmation. That document controls for your trip.
Receipts and invoices for the transportation fare are issued by the Carrier. If you need a receipt in a company name, with billing details, a tax ID, or a particular format, tell Mandy when you book and she will coordinate it with the Carrier in advance.
Cancellation and refund terms are provided in writing before you confirm your trip. HuaRenRental will help coordinate any cancellation or change with your assigned carrier.
4.1 Which terms apply. Because the transportation fare is paid to the Carrier, cancellation deadlines, refund amounts, and any non-refundable deposit or charges are those of the Carrier, as stated in your trip confirmation. Please review them before you confirm; Mandy is happy to explain them in Chinese.
4.2 How to cancel. To cancel, send a written message to HuaRenRental by WeChat or email (or call and then confirm in writing) using the contact information in Section 22. We will promptly notify the Carrier and help coordinate the cancellation and any refund the Carrier owes under its terms. A cancellation is treated as received when HuaRenRental receives it.
4.3 Refunds. Any refund of the transportation fare is issued by the Carrier, according to the Carrier's terms in your trip confirmation. Carefree does not hold your fare and cannot issue refunds of it, but we will follow up with the Carrier on your behalf.
A request to change the date or time of a confirmed trip is subject to the availability of the Carrier, vehicle, and driver, and is not automatically guaranteed. HuaRenRental will make reasonable efforts to coordinate reschedule requests with the Carrier, but cannot guarantee that the original vehicle, driver, or rate will remain available for a new date or time.
If a requested change is material and made on short notice and cannot reasonably be accommodated, the Carrier may treat it as a cancellation of the original trip under the cancellation terms in your trip confirmation.
For services billed by the hour, billable time is based on the scheduled and actual service time and does not automatically stop because of Customer delays. Passenger lateness, baggage delays, restaurant or meal delays, delays at attractions or venues, extended stops, and waiting time may count as billable service time where applicable, consistent with the terms in your trip confirmation.
Billing works the way you'd expect: honest, hour-for-hour, with no guessing games.
Where specified in your trip confirmation, billable time for airport service begins when the driver departs to travel toward the airport.
The following are included in billable service time where applicable: driving time to the airport; time spent staging or waiting at the airport; time spent waiting for the passenger to arrive or exit the terminal; and driving time after passenger pickup.
Vehicle-specific minimum-hour requirements for airport and regular service are shown in your quote or trip confirmation and vary by vehicle type. A minimum-hour rule that applies to one vehicle type does not automatically apply to other vehicle types unless stated in your trip confirmation.
Your confirmed quote is based on the itinerary, timing, vehicle, passenger count, and service requirements agreed at the time of booking.
Additional stops, extended waiting time, late departures, route changes, or other additional service time beyond what was confirmed may result in additional charges from the Carrier at the applicable rate stated in your quote or trip confirmation. Mandy will help coordinate any change with the Carrier.
The Carrier is not obligated to extend service beyond the confirmed trip when the driver or vehicle is not available to do so, or where extending service would violate applicable safety or operating requirements (including hours-of-service or similar regulatory limits).
Any travel time, arrival time, or itinerary duration provided by HuaRenRental — whether in a quote, trip confirmation, or during service — is an estimate only.
Neither HuaRenRental nor the Carrier controls traffic conditions, collisions, road closures, construction, airport congestion, security procedures, severe weather, government restrictions, national park restrictions or closures, or similar events, and delays caused by them are outside HuaRenRental's reasonable control.
Customers are responsible for allowing adequate travel time for flights, trains, reservations, events, and other time-sensitive plans, and should build reasonable buffer time into their schedule.
HuaRenRental provides trip planning and transportation coordination. Transportation is performed by the independent Carrier named in your trip confirmation. HuaRenRental does not own, operate, or control airlines, airports, hotels, national parks, wineries, restaurants, venues, ticket sellers, government agencies, or other independent third parties.
The operating hours, admission rules, reservation requirements, fees, closures, and policies of such third parties can change without notice and are outside HuaRenRental's control.
Unless expressly included in writing in your quote or trip confirmation, admission tickets, park entrance fees, permits, meals, lodging, parking fees, tolls, and other third-party charges are not included in the quoted fare and remain the Customer's responsibility.
This exists for the rare case your confirmed vehicle can't make it — our goal is always a comparable or better replacement, never a downgrade from what was confirmed in writing.
The vehicle type confirmed in your trip confirmation is provided by the Carrier. If the confirmed vehicle becomes unavailable due to safety concerns, mechanical issues, an accident, scheduling conflicts, or other unforeseen circumstances, HuaRenRental will work with the Carrier — or, where needed, another qualified carrier — to arrange a comparable or higher-category replacement when one is reasonably available, and will tell you before the change.
Where your trip confirmation contains an express, specific written commitment (for example, a confirmed vehicle model year such as "2025 or newer") that cannot be met, HuaRenRental will notify you and help you choose among reasonable options, which may include a comparable upgraded vehicle, a rescheduled trip, or cancellation with any refund owed by the Carrier under its terms.
The vast majority of trips never need this section. It exists to keep every passenger — including yours — safe.
The driver has final authority over the safe operation of the vehicle. The driver may refuse service, modify the route or itinerary, suspend service, or terminate service when reasonably necessary for safety or legal compliance.
The following are prohibited during service: threatening or abusive conduct toward the driver or others; intentional damage to the vehicle; illegal activity; smoking or vaping where prohibited; possession or use of illegal drugs; other dangerous conduct; passenger numbers exceeding the vehicle's legal seating capacity; and requests that would require the driver to drive unsafely or in violation of law.
If service is terminated due to a violation of this Section, the Carrier may apply its own terms regarding charges and refunds for the unused portion of service, to the extent permitted by applicable law.
The booking Customer may be responsible to the Carrier for reasonable, documented repair, cleaning, replacement, towing, or related costs caused by the Customer or members of the Customer's party, beyond ordinary wear and tear.
Extraordinary cleaning resulting from vomiting, bodily fluids, excessive spills, smoking, or similar conditions may result in reasonable cleaning charges from the Carrier, based on documented actual costs.
Customers remain responsible for their own passports, phones, luggage, cash, jewelry, and other personal belongings at all times.
If you leave something in a vehicle, contact Mandy and she will help coordinate its return with the Carrier. Recovery of lost or left items cannot be guaranteed, and you may be responsible for reasonable shipping or delivery expenses for returning them.
Nobody controls the weather or a wildfire closure. Here's how we work through it together when it happens.
HuaRenRental will not be liable for failure to perform, or delay in performing, any obligation under these Terms to the extent such failure or delay is caused by circumstances reasonably outside HuaRenRental's control, including severe weather, wildfire, flood, road closure, government action, public emergency, airport shutdown, strikes or labor disputes, civil disturbance, national park closure, unexpected mechanical failure, or other similar events ("Force Majeure Events").
Where a Force Majeure Event affects a trip, HuaRenRental will work with you and the Carrier on reasonable options appropriate to the situation, which may include itinerary modification, substitute transportation, rescheduling, or cancellation. Any credit or refund of the transportation fare is determined by the Carrier under the terms in your trip confirmation.
This section describes the limits of HuaRenRental's responsibility for its own planning and coordination services. It does not limit any right you have under California law — see Section 18.
To the maximum extent permitted by applicable law, HuaRenRental's total liability arising out of or relating to its planning and coordination services or these Terms is limited to the amount, if any, paid by the Customer to HuaRenRental for the specific service giving rise to the claim.
To the maximum extent permitted by applicable law, HuaRenRental will not be liable for indirect, incidental, special, exemplary, or consequential damages, including missed flights or connections, lost event admission, lost wages, or similar losses, particularly where such losses are caused by circumstances outside HuaRenRental's reasonable control as described in Sections 9 and 15.
Nothing in these Terms limits or excludes any liability that cannot lawfully be limited or excluded under applicable law, including liability for fraud, intentional misconduct, or willful injury. Nothing in these Terms limits any right you may have against the Carrier.
This only applies if you or your party cause real damage or break the law — never for ordinary use of the service.
To the extent permitted by applicable law, the booking Customer agrees to be responsible for, and to reimburse HuaRenRental for, claims, losses, damages, or expenses (including reasonable costs) brought against HuaRenRental that arise from unlawful conduct, intentional misconduct, or a breach of these Terms by the Customer or a member of the Customer's party.
This section applies only to losses caused by the Customer's or the Customer's party's own conduct as described above and does not require the Customer to be responsible for losses caused by HuaRenRental's own negligence, willful misconduct, or violation of law.
Transportation booked through HuaRenRental is performed by independent California carriers who are responsible for holding the operating authority and commercial insurance required for the service, including requirements administered by the California Public Utilities Commission (CPUC). Carrier information, including TCP / operating authority, is available with your trip confirmation on request.
Nothing in these Terms is intended to, or does, override, waive, or limit any right or protection provided by California law, CPUC regulations, mandatory insurance requirements, vehicle safety requirements, or other applicable law. If any provision of these Terms conflicts with mandatory law, the mandatory law controls, and the remaining provisions of these Terms remain in effect.
These Terms may be accepted electronically. Where a booking process includes a checkbox or similar confirmation stating "I have read and agree to HuaRenRental's Booking Terms & Conditions," checking that box or otherwise proceeding with a trip after being presented with these Terms constitutes acceptance of these Terms.
Reference acceptance text — English: "I have read and agree to HuaRenRental's Booking Terms & Conditions, and I understand that my transportation will be performed by the independent carrier named in my trip confirmation." Chinese: "我已阅读并同意华人租赁的《预订条款与服务协议》,并了解实际客运服务由行程确认单中注明的独立承运商提供。"
These Terms are provided in English and in Chinese (Simplified) for Customer convenience. HuaRenRental intends for the English and Chinese versions to have the same meaning and effect. A Customer's use of the English-language version of the site, or communication with HuaRenRental in English, does not by itself waive the availability or applicability of the Chinese-language Terms.
If you believe there is a discrepancy between the English and Chinese versions of these Terms, please contact HuaRenRental using the information in Section 22 before booking so that we can clarify the applicable terms.
HuaRenRental may update these Terms from time to time. The version of these Terms in effect at the time a trip is confirmed applies to that trip. The "Last Updated" date and "Terms Version" shown near the top of this page indicate the most recent revision. How we handle personal information is described in our Privacy Policy.
